Permission Overview

Permissions determine what actions users assigned to an editorial role can perform within the journal. Administrators can grant only the permissions required for each role, ensuring secure and role-based access control.

Journal Level Permissions

Submission Permissions

PermissionDescription
View All Submissions (Spectator)Allows the user to view all manuscript submissions, including files and metadata, without making any changes.
Manage Participants Inside the SubmissionAllows the user to add, remove, or update participants involved in a submission across all workflow stages.
Archive and Unarchive SubmissionsAllows the user to archive completed or inactive submissions and restore them when required.

Dashboard & Reporting

Journal Configuration Permissions

Author Submission URL Permissions

Editorial Roles & User Permissions

Reviewer Permissions

Reviewer Certificate Permission

Workflow Permissions

Permissions can also be assigned separately for each workflow stage: Submission, Review, and Production.

Submission Workflow Permissions

Read

Allows the user to view submissions, submitted files, metadata, and workflow history.

Manage

Allows the user to create, edit, and manage submission-related activities.

Additional permissions include:

  • Allow Upload Submission File Manually – Upload manuscript files on behalf of the author.

  • Allow User to Request Revision Files to Author – Request revised files from authors.

  • Allow Initiate/Manage Pre-Review Discussions – Start and manage editorial discussions before peer review.

  • Allow User to Add/Remove Participants – Manage users participating in the submission workflow.

Decision Making

Allows the user to make editorial decisions during the submission stage.

Additional permissions include:

  • Accept Submission – Move the manuscript to the next workflow stage.

  • Reject Submission – Reject the manuscript during the submission stage.

  • Manage Submission Waiver and APC Payment – Manage APC waivers and payment requests before review.

Review Workflow Permissions

Read

Allows the user to access review files, reviewer comments, and review history.

Manage

Allows the user to manage peer review activities.

Additional permissions include:

  • Create Multiple Review Rounds – Initiate additional review rounds when revisions are required.

  • Upload Review File Manually – Upload review-related documents manually.

  • Request Revision Files to Author – Request revised manuscripts from authors.

  • Initiate/Manage Review Discussions – Manage discussions between editors and reviewers.

  • Create and Manage Reviews – Assign reviewers and oversee the review process.

  • Add/Remove Participants – Manage workflow participants during peer review.

Decision Making

Allows the user to make editorial decisions after peer review.

Additional permissions include:

  • Accept Submission – Accept the manuscript after review.

  • Reject Submission – Reject the manuscript after review.

  • Manage Review APC Payment – Manage APC-related activities following editorial decisions.

Production Workflow Permissions

Read

Allows the user to access production files and monitor production activities.

Manage

Allows the user to perform production-related tasks.

Additional permissions include:

  • Upload Production Ready File Manually – Upload the production-ready version of the manuscript.

  • Upload Production Completed File Manually – Upload the final published production files.

  • Add/Remove Participants – Manage production team members assigned to the manuscript.

  • Initiate/Manage Production Discussions – Collaborate with production participants.

  • View Production Jobs – View assigned production jobs.

  • Participate in Production Job – Work on assigned production tasks.

  • Manage Production Jobs – Create, assign, and manage production activities.

Decision Making

Allows the user to finalize the production workflow.

Additional permissions include:

  • Complete Submission – Mark the manuscript as production complete and ready for publication.

  • Manage Production APC Payment – Manage APC-related activities during the production stage.

Best Practice: Grant only the permissions required for each editorial role. Following the principle of least privilege helps maintain workflow integrity, protects sensitive journal data, and ensures users have access only to the functions necessary for their responsibilities.
