Users

Overview

The Users section in Kryoni JMS allows administrators to invite, manage, and monitor users across the organization. From this module, administrators can add new users, track invitation status, perform bulk user imports, and manage user accounts after registration.

A user becomes part of the organization only after accepting the invitation sent by the administrator. Once the invitation is accepted, the user is added to the Users list and can then be assigned one or more roles based on their responsibilities.

Inviting Users

Inviting a new user is a simple process that allows administrators to onboard users securely into the system.

Step 1: Open the Invite User Form

From the Users page, click Invite User located in the upper-right corner of the screen.

This opens the Invite User form.

Step 2: Complete the Invitation Form

Enter all the required information for the new user.

Complete all mandatory fields before proceeding.

User Status

The User Status determines whether the invited user is allowed to access the system after accepting the invitation.

By default, the status is set to Active, which means the user can access Kryoni JMS immediately after accepting the invitation.

If required, administrators can change the status to Inactive, preventing system access until the account is activated.

Finalize the Invitation

After verifying all the entered information:

  1. Review the user details.

  2. Click Invite User.

The invitation email is automatically sent to the specified email address.

The invited user will receive an email containing instructions to join Kryoni JMS.

Pending Invitations

After an invitation has been sent, it appears in the Pending Invites section until the recipient accepts or declines the invitation.

Pending Invites

Users who have not yet completed the registration process are displayed with a Pending status.

Administrators can monitor the invitation status directly from this section.

Resend Invitation

If the invited user has not received the email or the invitation has expired, administrators can resend the invitation.

Simply click Resend Invite to send a new invitation email.

Pending Due Date

Each pending invitation displays a Due Date, indicating the deadline for accepting the invitation.

This helps administrators monitor outstanding invitations and follow up with users when necessary.

Bulk Import Users

For organizations onboarding a large number of users, Kryoni JMS provides a Bulk Import feature.

This allows administrators to import multiple users simultaneously instead of creating each account individually.

Step 1: Open Bulk Import

Click the Import Excel icon on the Users page.

Step 2: Upload the User List

Prepare a user list in the supported format, such as:

  • CSV
  • Excel (.xlsx)

Click Upload File and select the prepared file from your computer.

Step 3: Verify and Import

Before importing, review the uploaded information to ensure all user details are accurate.

After verification:

  1. Click Import.

  2. Kryoni JMS creates invitations for all listed users.

Each imported user receives an invitation email to complete registration.

Accepting an Invitation (Invited User)

After the administrator sends the invitation, the invited user receives an email containing a secure invitation link.

Step 1: Open the Invitation Email

The invited user receives an email notification from Kryoni JMS.

Open the email and click the invitation link to access the system.

Step 2: Sign Up to Kryoni JMS

If you are a new user, complete the registration process to create your Kryoni JMS account.

Once logged in, the dashboard displays a Pending Invitation notification.

Step 3: View the Invitation

Click View to review the invitation details.

The invitation page displays two available options:

  • Accept Invite
  • Decline Invite

Step 4: Accept the Invitation

Click Accept Invite to join the publishing organization.

After accepting the invitation:

  • The user's account is successfully added to the organization.

  • The user is now listed in the Users section.

Assigning User Roles

After the invitation has been accepted, the user becomes available within the organization's Users list.

The administrator can now assign one or more roles to the user based on their responsibilities.

User Field Configuration

The User Field Configuration section allows administrators to customize the information collected when inviting or registering users.

Administrators can configure each field as:

  • Mandatory – Users must provide the information.

  • Optional – Users may provide the information if applicable.

By configuring these settings, organizations can standardize user information, simplify the invitation process, and ensure that only relevant details are collected based on organizational requirements.
