Roles
Overview
The Roles section allows administrators to create, customize, and manage user roles within Kryoni JMS. Roles are used to control user access and permissions through Role-Based Access Control (RBAC), ensuring that users can only access the modules and features required for their responsibilities.
By assigning appropriate permissions to each role, organizations can improve security, simplify user management, and maintain clear separation of responsibilities across teams.
The Administrator role is created by default and has full access to all system features and organization-wide settings.
Creating a Role
To create a new role:

Navigate to Global Organization Settings →** Roles**.

Click Create Role located in the upper-right corner.

Enter Role Details
Role Name
Enter a unique and descriptive name for the role.
Example:
- Billing Manager
- Production Manager
- Editorial Coordinator
- Journal Administrator
Assign Permissions
Select the permissions that users assigned to this role should have.
Manage Users
Allows users to manage user accounts within the platform.
Manage Roles
Allows users to create, edit, and manage roles.
Manage Journals
Allows users to manage journals, access publisher dashboards, and view journal reports.
Auditing
Allows users to access and manage audit logs and system activity.
Supplier Management
Allows users to manage suppliers within the platform.
Developer Options
Allows users to manage API configurations and developer settings.
Administration & Billing Management
Allows users to manage usage, billing, subscriptions, and email preferences.

Save the Role
After selecting the required permissions:

Verify the role information.

Click Save.
The new role is now available for assignment to users.
Example: Creating a Billing Manager Role
Suppose you want your finance team to manage all billing-related activities for the publishing house without giving them access to editorial functions.
Follow these steps:

Click Create Role.

Enter the Role Name as Billing Manager.

Select the Administration & Billing Management permission.

Click Save.
The Billing Manager role is successfully created and is ready to be assigned to users.
Assigning Users to a Role
After creating a role, you can assign one or more users to it.
Step 1: Open Assign User
Click Assign User from the right side of the Roles page.

Step 2: Select the Role
Choose the role from the Role drop-down list.

Step 3: Add Users
You can assign existing users by:

Searching using their Name
-
Searching using their Email Address
Select the required user and add them to the role.

Invite a New User (Optional)
If the user is not already registered, click Invite User.
Complete the invitation form by entering the required details and click Invite.
An invitation email will be sent to the user.
The invited user can:

Accept the invitation to join the organization.

Decline the invitation if they do not wish to join.
Once the invitation is accepted, the administrator can assign the selected role to the user.

Managing Multiple Roles
Kryoni JMS allows administrators to create multiple roles based on organizational requirements.
Each role can have its own set of permissions, ensuring users have access only to the features necessary for their responsibilities. This flexible role-based access model enhances security, simplifies administration, and supports efficient collaboration across the publishing organization.
